GroupWise Mobile Server

Palm OS configuration adjustments

Backup your mobile device prior to doing anything else. UT Southwestern Medical Center is not responsible for any lost data involved in installing the Novell GMS software.

Do not use Novell's PDA Connect software once you have setup your mobile device for use with GroupWise Mobile Server. Doing so will cause duplicate message/appointment/task items in your active account. You should uninstall the PDA Connect software from Add/Remove programs in Control Panel

Installation Process

On the device go to http://gms.swmed.edu/install

    1. Welcome screen - Click Next button
    2. Authentication screen - Use your GroupWise User ID and Password.
    3. Software screen - You will see a link for the correct version of the Intellisync's SyncMail application based on your mobile device's operating system.
    4. Download Warning screen - Some systems may prompt you that you are about to download software from the internet and you must say Yes to continue with download.
    5. Download screen - You will be prompted to download the software to your Device or Card.
      1. You must choose device. Installing the software to an external memory CARD will DISABLE SYNCHRONIZATION.
    6. Download screen 2 - You will be prompted to Save or Save and Open the install application. Either choice works. Recommended to select Save & Open this will auto install the software after it has been downloaded to your device.
    7. Transfer screen - You may be prompted, "Do you want to accept "SyncClient.prc" into Applications?
      1. Answer Yes.
    8. The installation process will start at this time. Your device may reboot to complete installation.

Configuration Settings

There are two options for synchronization to your palm mobile device.

  • Network Push - new items are sent to mobile device on arrival in your account.
  • Timed interval - PDA request items from the server at set intervals.

We have discovered that the Network Push will cause your battery to drain faster because it holds an open connect to the GroupWise Mobile Server. We recommend that you turn off Network Push:

  1. Click on Intellisync icon in Main Window
  2. Click on Settings
  3. Click on When to Sync
    1. Uncheck Push
    2. Click on the Advanced button in lower right
      1. Uncheck the Use Network push box
      2. Uncheck the Use SMS push
      3. Click Ok
    3. Set the Timed interval to Every 20 min
    4. Limit sync to Everyday
      1. We suggest you set Not before to 6 Am and Not after to 7 PM.
    5. Minimal battery level should not be below 15%
    6. Click OK
  4. Click on Email in Intellisync Screen
    1. Choose Preferences from the Options Menu
    2. Click on General tab
      1. Change the Signature for emails sent from your mobile device.
    3. Click OK
Additional Configuration Changes

The following changes can be done to improve memory usage and functionality of GroupWise Mobile Services. Keep in mind that the items will always be in your active GroupWise account, you are only removing items from the mobile device.

  1. Click on Intellisync icon in Main Window
  2. Click on Settings
    1. Click on What to Sync
      1. The following settings can be used for each of the items listed to conserve memory
        1. Remove older than 2 days (7 is default) New future items will always appear you are only removing from the mobile device items and appointments that have pasted.
        2. Uncheck download attachments
    2. Click on Security
      1. Click on Not Assigned and enter a password to be used to lock access to device. Keep in mind that anyone that picks up your device could access your email and send new emails with your account. The device should be locked always, specifically if you receive/send patient information.

Web Configuration Adjustments

Go to the GroupWise Moblie Server website from any Windows/Mac PC.
Login with your GroupWise user id and password

At the main window you will see your device listed. Below the device are several buttons you can use to configure your push from the server.

  • Pick Contacts to Sync - Here you pick the book(s) you want to synchronize with your mobile device. Do Not sync Frequent Contacts
  • Push Settings - Here you can pick what items you want to sync to your mobile device mail account
  • Update Software - Download updated software to your mobile device
  • View Activity Log - Log of your activity
  • Pick Folders to Sync - Allows you to select which folder you want synchronized to your mobile device

Once you have made the changes you require you can Logout of the GroupWise Mobile Server

Amount of Data Needed.

The more data and the amount of time it is kept on your device should be as short as possible to prevent syncing issues with the mobile server.

  • The number of days to keep email synced to the device.
  • The number of emails synced to the device.
  • The number of folders, email size synced to the device
  • The number & length appointments synced to the device.
  • The number of contacts synced to the device.

You should not sync every folder in your mailbox or every address book that you have. Tthe Directory Address book is installed on device. This will search all GroupWise email addresses in the GroupWise system

Push Settings

By default all items types are selected (Email, Contacts, Notes, Calendar and Tasks). You can reduce the amount of information downloaded to your PDA by deselecting the items you do not wish to be received on your mobile device. You can also choose between Weekdays only and Everyday and set a start and stop time for when your new items will be updated between mobile device and your active account.

The default setting for items to push to your mobile device are all unread messages that are sent to you specifically, also emails that are marked High Priority or Urgent, and meeting request. You can choose to push:

    1. All emails
    2. Only emails from a specific sender (host or specific email address)
    3. Only emails with a specific subject
    4. or emails that do not have a specific subject
Pick Folders to Sync

When you select this option a list of all your existing folders will be displayed. You can choose to download from all or just a select few of the folders. An example would be a folder that contains communications with a supervisor. You can create a rule in GroupWise to automatically move new items from a specified user into this folder and than have those messages pushed to your mobile device.

Doing the first synchronization

The first synchronization process has several steps that much be completed before the time interval sync will function properly.

  1. Click on Intellisync icon in Main Window
  2. Click on Sync
    1. You will have two options for synchronizing your GroupWise Calendar
      1. Refresh - Suggested option - THis option clears out the calendar on your Mobile device and uses your GroupWise calendar to populate.
      2. Merge - This option will merge your existing Mobile device calendar with GroupWise calendar items. THis means that any existing appointment you had on your Mobile device calendar will be created in your GroupWise calendar and visa versa.
    2. Next you will be prompted to scribble on the screen until the little bar is full. This is a security feature that creates an random key to be used to transfer data from our server to your device.
    3. Authentication screen will prompt for you GroupWise password. This only happens on the first synchronization.
